Formula: extra minutes = max(0, minutes on site − included minutes), rounded up to the billing increment; labour = extra minutes ÷ 60 × hourly rate; parts price = parts cost × (1 + markup %); total = call-out fee + labour + parts price.
What the call-out fee is for
The fee covers the cost of getting to the customer: travel time, fuel, the slot in the diary, and usually a first block of time on site, often thirty or sixty minutes. Pricing it that way means a ten-minute fix still pays for the hour it took out of the day. State clearly how many minutes the fee includes; most disputes about service bills come from customers who thought the fee was the whole price. Emergency and out-of-hours visits usually carry a higher fee and rate; run the calculator with those figures for a second price list.
Billing increments and parts
Time beyond the included minutes is billed in increments, because nobody bills to the minute and the increment protects you from short overruns. Fifteen-minute increments feel fair to customers; thirty or sixty are simpler. Parts are charged at cost plus a markup that covers sourcing, stock on the van, warranty and the trip to the supplier when the part is not in stock.
